Background

The Timetabling & Attendance team are the systems owners with responsibility for the management, development, and maintenance of the Timetabling system (Scientia) and the Attendance Monitoring System (TDS), collaborating with IT. The team is responsible for: 

Managing the annual rollover of the timetable database.
Managing the teaching requests process for developing teaching timetables.
Collaborating with wider institutional stakeholders, e.g., admissions and conferencing and events, on complex rooming requirements for non-teaching.
Data and error investigation and analysis for timetabling and attendance systems.
Support of day-to-day queries related to timetabling and attendance via phone, email and face to face.
Day to day maintenance of the timetable and non-teaching requests
Systems configuration, user profiles and workflow management.
Design and delivery of training for our timetabling and attendance systems and processes.

The team demonstrates a strong technical understanding of our timetabling and attendance systems and can work effectively between / liaise with IT, systems/end/service users and process owners. They also collaborate with stakeholders across the university on the Timetabling Policies and Approach to Attendance, being responsible for managing and maintaining them.

The team also has responsibility for production of / co-ordination of operational reports from timetabling and attendance systems and for oversight and assurance of timetabling and attendance data quality. The team has responsibility for ensuring the data within the system is understood and effectively utilised by university staff through clear communication about relevant processes, procedures, guidance, and staff / student training.

The Role

This role will work as part of the Timetabling & Attendance team, reporting to the Timetabling & Attendance Manager. You will become familiar with timetabling data, room inventory across all campuses and attendance data, plus associated system(s), contributing to work packages assigned by the Timetabling and Attendance Manager to meet agreed timeframes and objectives.

You will learn to support the Systems Leads in the planning of work packages by providing estimates on effort required to complete tasks and reporting on progress to support task tracking.

The post holder will support the monitoring of timetabling & attendance data quality, learning a wide range of interrogation methods, and will support the delivery of training on data quality standards and procedures, promoting their use with stakeholders using the system.  The post holder will support the delivery of training on system tools and system functionality and collaborate with business functions within their team in their development of training on business processes that use the system. The post holder will also engage in development of their technical skills related to data analysis and management.

As part of the customer service ethos within the Registry Services teams, this role will log, investigate, and address support calls from across the university related to timetabling and attendance via phone, email and, from time to time, face to face. They will independently investigate issues and proactively escalate those that require more senior/expert support.

Qualified to A-Level, relevant professional qualification, or equivalent experience, this person will be familiar with working with stakeholders from across an organisation. They will be solution-focused, with customer service ethos, and demonstrate a degree of judgement to make recommendations and decisions and find solutions.

It is expected that there will be a relatively even balance between time spent on and off campus; but in most cases the work location will be determined by the service required or the tasks/activities being undertaken.
