A fantastic opportunity has arisen in Kent for an eager individual to join and lead the small office team of Colin Batt Removals and help grow our well-respected and multi-award-winning family business. We are recruiting for an Office Manager with day-to-day office management experience, superior customer-facing skills, and exceptional administration acumen.

The Office Manager is responsible for overseeing the daily business administrative and operational activities, as well as making sure the office functions as a high-quality working environment. Your tasks and responsibilities will be wide and varied, covering the full spectrum of office tasks, including handling internal and external customers from initial contact to after-sales support, scheduling appointments, banking and maintaining office supplies. Working for the General Manager and with direct responsibility for other office staff, you will have the experience and skills to manage the high-tempo office and exploit opportunities to improve the business. You will be able to demonstrate:

• Strong organisational skills, excellent attention to detail and administrative skills.
• High proficiency with MS Office, MS Word, MS Excel, and Office 365 applications.
• Initiative and self-motivation.
• Flexible and logical approaches to problem-solving.
• Ability to multi-task and prioritise.
• Management of a busy operational diary.
• A can-do attitude and reliability as a team player.
• Personnel management and coaching.
• Excellent customer service skills, with a friendly, empathetic, and tactful telephone manner.
• First-rate communication skills, both oral and written, with colleagues and customers.
• Excellent numeracy skills.
• Experience in the haulage industry would be advantageous but is not essential.

While the role is customer-focused, you must also be able to handle all business administrative functions, from filing, invoicing, reconciling accounts, and scheduling. You will be trained to carry out all tasks, which include but are not limited to:

• Data entry and maintenance of databases, filing systems and archive records.
• Processing invoices and receipts, experience with SAGE would be advantageous.
• Managing and processing payroll.
• Business banking, reconciliation, and petty cash.
• Liaising with suppliers and customers, including via email, social media, and phone.
• Performing general clerical duties.
• Maintaining office and business supplies.
• Coordinating and maintaining records for staff, key accounts and suppliers.
• Organising, coordinating, and managing appointments for surveyors.
• Booking and coordinating vehicle maintenance activities.
• Other administrative duties as assigned to you by higher management when required.
• Maintaining a clean and safe office environment and arranging, when necessary, repairs and regular testing for electrical equipment and safety devices.
• Updating Company policies, such as Health and Safety and General Data Protection Regulations policies, and ensuring they are observed.

The job is predominantly Mon-Fri 9 am-5.30 pm, though you may be required to work more flexible hours to meet the demands of the business. The majority of your time will be spent on-site at our office in Ashford, although some travel may very infrequently be required. In return you will receive a competitive basic salary, a workplace pension, and 20 days holiday per year (plus bank holidays), growing annually to 25 days holiday a year after 5 years of experience with the Company.
